Data collected and source

The current website provides a hotel staffing enquiry form that prepares an email in the visitor's own email application. The website does not operate a contact database and does not automatically submit that form to a server. If the visitor confirms sending the email, Vivra Hospitality may receive their name, hotel, email address, requested service and any additional information typed into the message. Visitors should not include sensitive information in these messages.

Purposes and legal bases

This data is used to answer enquiries, discuss staffing requirements, prepare quotations and follow up on business communications. Depending on the request, processing is based on steps taken at the data subject's request prior to entering into a contract (GDPR Article 6(1)(b)), or the company's legitimate interest in responding to business enquiries (GDPR Article 6(1)(f)).

Recipients and providers

Received communications may be accessed by authorized Vivra Hospitality personnel and are technically handled by the company's email service provider (the published contact address is a Gmail address). The website host may process technical connection data necessary for page delivery and security. The website is hosted via Cloudflare Pages (Cloudflare, Inc.).

Retention periods

Data related to prospective customers whose enquiries do not result in a business relationship are kept for no longer than three years after the last contact initiated by the prospect. Communications leading to a contractual relationship are retained for as long as necessary to manage that contract and comply with applicable legal requirements.

International transfers

Using Google (Gmail) and Cloudflare may involve access to or processing of certain data outside the European Economic Area. This version of the website does not use advertising cookies or analytics software. The images, stylesheets and scripts are supplied with the website, without external fonts or third-party services.
